Privacy Policy

Last updated: 30 October 2026

This Privacy Policy describes how THE NOTEBOOK REPAIRS STATION collects, uses, stores and protects personal information when a customer brings a laptop to our repair bench, sends a message to our intake desk or uses this website. The policy is published and operated under the supervision of the developer known as Notebook Repair, who maintains the website and the bench record system for the organization. THE NOTEBOOK REPAIRS STATION is located at 1 Rochor Canal Road, #05-05 Sim Lim Square, Singapore 188504, Singapore (SG). We are a laptop repair bench, and the records we keep are the intake tag, the triage sheet and the handover slip. This policy explains what those records contain, how long they live and the choices that belong to each customer.

1. Introduction

THE NOTEBOOK REPAIRS STATION runs a laptop repair bench at 1 Rochor Canal Road, #05-05 Sim Lim Square, Singapore 188504, Singapore (SG). When a customer walks to the bench with a device, the bench begins a paper and electronic record: an intake tag that names the device, a triage sheet that records the tests and a handover slip that records the parts fitted and the warranty term. That record is central to how the bench works. Without it, a technician could not tell one laptop from another and a customer could not prove what work was done.

This policy explains, in plain terms, what personal information sits inside those records, why we keep it and how we look after it. It applies to every customer, every visitor to this website and every person who writes to our intake desk. The developer known as Notebook Repair maintains the website and the record system described here, working for THE NOTEBOOK REPAIRS STATION. Where this policy says we, the word refers to THE NOTEBOOK REPAIRS STATION and the bench team that operates it.

We have written this policy to be read without a legal dictionary, but we have kept the structure precise so that a customer can jump to the section that matters to them. If you only want the short version, it is this: we collect what the repair needs, we keep it only as long as the repair and the warranty require, we do not sell it, and you can ask us about it at any time.

2. Scope of This Policy

This policy covers personal information that we collect through three channels: a visit to the repair bench at Sim Lim Square, a message sent to the intake desk by email, phone or the contact form, and a visit to this website. It does not cover the practices of any other business in the mall, of any courier that carries a device, or of any software vendor whose product is installed on a customer laptop.

The policy applies regardless of how a device reaches us. A customer who walks in with a laptop, a customer who arranges collection through a colleague, and a customer who sends a device through a courier for a later sitting are all covered. Where a corporate customer sends several devices under one account, the responsible contact person for that account is covered as an individual, and the internal records of that company remain the responsibility of the company.

3. Information We Collect

We collect only information that the bench needs to receive, diagnose, repair and return a device. In ordinary work this information falls into the following groups.

Contact details

  • Your name and, where you give it, a preferred name for the tag.
  • Your email address, used to confirm a slot and to send a copy of the triage sheet.
  • Your phone number, used for short updates if a part is delayed.
  • An address, but only if a device is to be returned by courier.

Device details

  • The make, model, serial number and visible condition of the laptop.
  • The accessories left with the device, such as a charger or a sleeve.
  • The reported fault, written in the words you use at the intake bay.
  • Photographs taken at intake and at handover for condition records.

Repair and commercial details

  • The triage sheet readings, the tests performed and the verdict.
  • The parts fitted, their batch reference and the amount charged.
  • Invoice and payment records, including the method of payment used.
  • The warranty term, the collection date and any note made at collection.

Website and message details

  • The content of a message sent through the contact form or by email.
  • Basic technical data such as the browser type and the pages viewed.
  • The date and time a message was sent, so the desk can reply in order.

We do not ask for sensitive personal information such as health data, religious belief, political opinion or biometric data. A customer should not use the message field to send such information, because the bench does not need it to repair a laptop.

4. Device and Diagnostic Information

The triage sheet produces diagnostic information that belongs to the machine, not to a person, but it is linked to an intake tag that carries a name. That link is what allows us to give the right laptop back to the right owner. Diagnostic information includes power draw, drive health readings, fan behaviour, thermal curves, panel colour maps and battery health values.

Our practice is to read diagnosis and to avoid looking at content. A technician may open a file manager to check that a drive works, but the bench does not browse personal files, photographs or documents. If a repair requires a data copy, the bench asks first and records the request on the triage sheet. Where the customer declines a copy, the bench records the declined request and proceeds with the hardware work only.

Some diagnostic readings are kept on the triage sheet for the warranty term so that a repeated fault can be compared against the original state. Other readings are used at the bench and not copied into the visit file. The sheet tells a customer which readings were stored, so nothing is recorded beyond what the sheet shows.

5. How We Collect Information

Most information is collected directly from you. At the intake bay a technician writes down the details you provide and photographs the device in your presence. When you send a message, we receive the text you write together with your name and the reply address. When you call the bench, the person who takes the call writes a short note with the model and the fault so the intake desk can prepare for the visit.

A small amount of information is generated by the bench rather than supplied by you, such as the readings taken during the triage run and the timestamps on the visit file. We do not collect information about you from social networks, data brokers or advertising companies. We do not buy contact lists. Where a colleague delivers a device on behalf of the owner, we record the colleague as the dropping person and the owner as the account holder, and we ask the colleague to confirm that they are authorised to do so.

6. Why We Use Your Information

The purposes below are the reasons the bench keeps any record at all. A record is not collected for one purpose and then quietly reused for another; if a new purpose arises, the visit file notes it and the customer is told.

  • To receive a device, tag it and give it a bench bay.
  • To diagnose the reported fault and produce a triage verdict.
  • To quote a repair and confirm that the customer approves the cost.
  • To fit the part, repeat the tests and issue a handover slip.
  • To honour the warranty and investigate any repeat fault.
  • To invoice, take payment and keep the records the law requires.
  • To reply to a message and arrange a booking or collection.
  • To operate, secure and improve this website.
  • To keep the bench safe from fraud, theft and false claims.

We do not use your information to send marketing messages unless you ask us to. We do not profile customers for advertising, and we do not sell contact details to any person or company.

7. Legal Bases for Processing

We process personal information because we need it to perform the repair contract with you, because the law requires certain records such as invoices, because the bench has a legitimate interest in a safe and honest operation, or because you have given consent for a specific optional step such as a data copy or a marketing message.

Where we rely on consent, you may withdraw it at any time by writing to the intake desk. A withdrawal does not affect work already done, and it does not stop us from keeping the records that the repair and the law require. Where we rely on a legitimate interest, we weigh that interest against the reasonable expectation of the customer, and we keep the record as narrow as the purpose allows.

8. Payment and Invoice Records

Payment records are kept separately from the repair record. The invoice shows the work performed, the parts fitted and the amount charged, and it is retained for the period that tax and accounting rules require. We do not store full card numbers at the bench. Where a card is used, the card terminal processes the transaction and the bench keeps only the confirmation and the last four digits shown on the slip.

A customer may ask for a copy of an old invoice for a warranty or an expense claim. We will provide it where the visit file can be located and the request is made by the account holder or an authorised colleague. Where a record has passed its retention period, we will explain that it has been removed rather than pretend it still exists.

9. How Long We Keep Records

We keep the visit file, which is the intake tag and the triage sheet together with the handover slip, for the full warranty term plus a short overlap for accounting. After that period the visit file is removed from the active record and the accounting entries are kept only as long as the law requires.

Photographs taken at intake and handover are kept with the visit file so that a condition dispute can be settled from evidence. Website messages are kept in the desk mailbox for as long as a conversation is open, and then for a further period for record keeping. A customer may ask for a message to be removed sooner where no repair followed from it and no legal obligation requires it to stay.

When a record reaches the end of its retention, we remove it from active systems and dispose of paper copies through a secure shredding route. Backups that contain the record are rotated on a fixed schedule and are removed when that schedule completes.

10. When We Share Information

We do not sell personal information and we do not rent it. We share it only where a repair or the law requires a narrow handoff. The categories below are the only routine ones.

  • Parts suppliers, who receive the model and the part reference, not the customer contact details.
  • A courier, which receives a name, an address and a phone number only when a device is returned by delivery.
  • An accountant or bookkeeping service, which receives invoice data as required for accounting.
  • A hosting provider, which stores this website and its messages securely.
  • A regulator or authority, where a lawful request is presented and verified.

Where we share information, we share the smallest amount that the purpose needs. A parts supplier does not need to know the name of a customer, and a courier does not need to know the fault. We make that distinction explicit in our supplier arrangement so that the same information is not passed further than it must go.

11. Third Party Suppliers and Services

THE NOTEBOOK REPAIRS STATION works with a small set of third party providers for hosting, payment processing, accounting and delivery. Each provider is chosen for reliability and is expected to hold information securely and to use it only for the service we ask of it. We review the arrangement when a provider changes and we do not pass customer information to a provider that offers no clear protection.

This website does not embed advertising networks, social trackers or third party comment systems. A link from this site to another site means only that we think the link is useful; it does not mean that we control or endorse the privacy practices of that other site. A customer who follows an external link should read that site policy separately.

12. Cookies and Website Analytics

This website is a simple set of pages that describe the bench and allow a customer to send a message. It does not set advertising cookies and it does not sell visitor data. Where a cookie is used, it is a small functional marker that helps the site load correctly or remembers a basic preference, and a customer can block cookies in the browser without losing the main content.

If we use a basic analytics tool to count visits and understand which pages are useful, the tool is configured to count visits rather than to track individuals across other sites. The data from such a tool is aggregated and is not combined with the repair records held at the bench. A customer who prefers not to be counted may use a browser setting or an ordinary privacy extension.

13. How We Protect Information

The bench looks after information in two forms, paper and electronic, and it treats both as borrowed property. Paper tags and sheets live in a locked visit file at the bench and are handled only by the technician on duty. Electronic records live in an access controlled account, and each technician has an individual sign in so that the visit file shows who changed a line and when.

We apply practical safeguards that fit a small workshop. Devices are kept on a counted rack at closing. Photographs are stored with the visit file and not on personal phones. Messages are held in a shared desk mailbox with a strong password and a second check on sign in. Staff are trained to confirm a person before releasing a device, and a collection sitting requires the signed line on the handover slip.

No system is perfect. If a security incident affects a customer record, we will investigate promptly, reduce the risk, and tell the affected customer and any required authority in the manner the law requires. We would rather tell a customer plainly than keep a problem quiet.

14. Data Kept on Your Own Device

A laptop that comes to the bench may hold your files, accounts and photographs. We treat that content as yours alone. The bench does not read personal content as part of a repair, and where a data copy is needed the bench asks first and writes the request on the triage sheet. If a drive must be replaced, we explain what happens to the old drive and offer the usual choices: keep it, have it returned, or hand it to a secure recycling route.

We recommend that a customer keeps a backup before any repair, even a repair that does not touch the drive. The bench can check whether a backup exists and can advise on a copy, but the decision to make one belongs to the customer. Where a repair involves a drive that is already failing, the bench will explain the risk before work begins so that no surprise follows.

15. Your Privacy Rights

You have rights over the personal information we hold about you. Depending on where you live, those rights may include the right to be told what we hold, the right to a copy, the right to correct an error, the right to ask us to delete a record that is no longer needed, the right to restrict how a record is used, and the right to object to a particular use.

To exercise a right, write to clientcare@astarcomputer.com with your name, the tag number if you have it, and a short description of the request. We will confirm your identity before acting so that a stranger cannot collect your record, then reply within a reasonable period. Where we cannot do what you ask, for example because a record must be kept for tax, we will explain the reason in writing.

You may also ask us to stop sending optional messages at any time. This does not affect a message about an open repair or an unpaid invoice, because those messages are part of the service itself.

16. Privacy for Children

The bench is a workshop for laptop repair and is not directed at children. We do not knowingly collect information from a child without the involvement of a parent or guardian. Where a device is brought in by a young person, we ask for an adult to be named as the account holder so that the visit file and the collection sitting are handled by a responsible person.

If you believe that a child has sent personal information to the intake desk without an adult, please tell us and we will remove it where no repair is open and no legal duty requires it to stay. This section is written to protect younger customers, not to make a visit difficult; a family that brings a school laptop for repair is welcome at the bench at any time.

17. International Transfers

The bench operates in Singapore and the visit file is held at the bench and in an access controlled digital record. Where a third party provider stores a message or a backup on a server outside Singapore, we choose a provider that offers a recognised standard for cross border protection and we keep the amount of information transferred as small as the purpose allows.

Where the law of your own country gives you a right in relation to a transfer, write to the intake desk and we will explain how the transfer is protected. We do not move customer records to a new country for convenience, and we do not send a record abroad unless a service that the customer needs requires it.

18. Changes to This Policy

We review this policy when the bench changes how it works, when a new supplier is added, or when the law changes. When we make a material change, we update the date at the top of this page and, where the change affects an open repair, we tell the customer directly. The current version is always the one published on this page.

A customer who wants to know whether a policy has changed since a visit can compare the date at the top of the page with the copy kept in the visit file. If the older copy and the current page differ, the current page applies going forward, and the older copy continues to apply to the visit it describes.

19. Questions and Complaints

Most questions can be answered at the bench or by a short message. If you have a concern about how your information has been handled, write to clientcare@astarcomputer.com with the word privacy in the subject line and a description of the concern. The intake desk will log the concern, pass it to the person who maintains the record system, and reply with a plan.

If you are not satisfied with the reply, you may raise the matter with the authority that protects personal data in your country. We will cooperate with a lawful investigation and we will not treat a complaint as a reason to refuse service.

20. How to Contact Us

To ask a question about this policy, to request a copy of a record or to ask for a correction, use the details below. The intake desk aims to reply within a few working days, and always within the period that the law allows.
